Operations & optimization

Operating and optimizing your data & AI solutions

Operations, maintenance, monitoring, support and performance optimization for data & AI solutions.

In short

Ki4data runs or supports the operation of data platforms and AI solutions: with clear responsibilities, planned maintenance, monitoring of data and answer quality, agreed support and measurable performance optimization. A data platform or AI prototype only delivers lasting value once it runs reliably.

What does operating a data & AI solution involve?

Operations covers clear ownership, monitoring of pipelines, data freshness and answer quality, planned maintenance when source systems change, agreed support, and regular review of run times and cost. The goal is that failures are caught before users notice them.

Last updated:

Typical starting points

  • A proof of concept succeeded, but nobody owns day-to-day operation.
  • Pipelines fail silently and reports show stale data.
  • Answer quality of an AI application declines without anyone measuring it.
  • Run times or platform costs rise and the cause is unknown.

What you receive

Operating model

Responsibilities, procedures and escalation paths, agreed in writing.

Monitoring and alerting

Monitoring of agreed metrics with notifications on deviations.

Runbook

Documented procedures for incidents, recovery and recurring tasks.

Regular report

Health, incidents, cost trends and recommended improvements.

Optimization evidence

Baseline, actions and measured effect of every performance optimization.

Five modules that together cover operations

Modules can be agreed individually or combined. We define scope, service hours and response targets together and put them in the contract.

OperationsWhich systems are covered, who is responsible for what, how handover and recovery work.
MaintenancePlanned updates, care of pipelines and models, and adapting to changes in source systems.
MonitoringErrors, data freshness, data and answer quality, latency and consumption.
SupportScope, service hours, contact channels and agreed response targets.
Performance optimizationMeasurement, bottleneck analysis, targeted changes and a documented before-and-after comparison.

How we work

  1. 01

    Assessment

Review systems, dependencies, past incidents and documentation.

  2. 02

    Operating model

Agree modules, responsibilities, service hours and response targets.

  3. 03

    Takeover

Set up monitoring, write runbooks and hand over access.

  4. 04

    Ongoing operations

Monitor, maintain, support and report regularly.

  5. 05

    Optimization

Measure bottlenecks, improve deliberately and prove the effect.

Prerequisites and limits

A good fit when …

  • A data platform or AI application is in production or about to be.
  • Internally there is not enough time or specialist knowledge for operations.
  • Quality, availability and cost should be managed measurably.

Another solution fits better when …

  • Round-the-clock standby with guaranteed response times is needed but has not been agreed contractually up front.
  • The need is general workplace IT support rather than data and AI systems.

What drives effort and cost

Every project is scoped individually. These factors influence the effort most:

  • Number and criticality of the systems covered
  • Agreed service hours and response targets
  • Scope of monitoring, reporting and planned maintenance
  • Budget for further development and optimization

Frequently asked questions

Do you take over solutions you did not build?

Yes, after an assessment. We review documentation, dependencies and known issues and agree what needs to be addressed before takeover.

Do you offer 24/7 support?

We agree service hours and response targets individually, and only to the extent we can reliably commit to organisationally and contractually.

How is a performance optimization proven?

We measure a baseline before every change and measure again under comparable conditions afterwards. The before-and-after comparison is documented.

How does an AI proof of concept get into production?

Through a planned handover: assign ownership, set up monitoring for errors, answer quality and cost, automate test cases, write a runbook and agree service hours. Only then is the solution released to a wider group of users.
